Full-time Project Secretary

в AMEC LTD Расположение: Баку

AMEC Services Ltd, a major Western Design Engineering and Construction Company involved in Oil and Gas Projects in Azerbaijan is looking for experienced Project Secretary.
The position is for 6 month.

Prime responsibilities and duties:

• To be conversant with the Project HS&E Plan. Proactively participate in achieving the highest possible International standard of HSE implementation
• Overall responsibility for the Health and Safety of all the personnel under his/her control
• Act as a Focal Point of distribution of Project Information
• Preparation of Project Weekly, Monthly Reports, and assist in preparation of Monthly Presentations.
• Take Minutes at Executive Committee Meeting and Project management Meeting.
• Support to the Project Manager, maintaining his appointments and logistics. Co-ordination of all correspondence.
• Establish and maintain the Project Calendar in line with the Contract requirements.
• Organise and gather all information relevant for regional reports to be finalized by the Project Manager.
• Manage and control distribution of project correspondence via Document Control.
• Ensure compliance with contract administration instructions.
• Other functions/duties as may arise in the day to day development of a large scale project
• Organizes team building and social events.
• Responsible for the maintenance of personnel rotation charts.
• Manages petty cash and provides monthly report to Project Manager and Business Services Manager.
• Responsible for the maintenance of the Project Organization Chart.
• Coordination of mobile telephone distribution to all AMEC site personnel.
• Participate and contribute in all HSE (Health, Safety and Environment) campaigns, initiatives and safety meetings, as required;
• Participate and contribute in ATA (Amec, Tekfen Azfen Consortium) personnel development programs (CDCA).

The successful candidates should have:

• Must be Computer literate, and have working knowledge of Microsoft Office Programs (Word, Excel, Access).
• Hold relevant qualifications (diplomas, bachelors, masters etc.)
• Advanced knowledge of English and Azeri languages (spoken and written)
• Strong interpersonal & organisational skills

Previous experience of working in western company would be beneficial.
